Pickup & Return Guide

Before pickup
  • Online requests must be submitted at least 24 hours before pickup.
  • For pickup within 24 hours, please contact us on WhatsApp.
  • The minimum rental duration is 2 days (48 hours).
  • Your booking is confirmed only after staff availability confirmation and payment.
  • Pickup instructions are sent after payment and pre-check-in approval.
Airport and hotel handover
  • Haneda Airport handover is arranged at airport parking.
  • Hotel handover may be arranged at nearby paid parking if the hotel has no parking space.
  • Flight delays should be reported by email or WhatsApp as soon as possible.
  • Vehicle location, parking information, photos, and pickup steps will be provided by secure link.
Return rules
  • Please return the vehicle by the contracted date and time.
  • Late return requires advance approval and additional payment.
  • Return with a full tank and keep the fuel receipt when requested.
  • Please remove all belongings and garbage before return.
Self-check process
  • At pickup, check the standard vehicle photos and current condition.
  • If you find new damage, upload photos before driving.
  • Only registered and approved drivers may drive the vehicle.
  • Pickup is completed after online confirmation and signature.

Cancellation & Changes

These rules are a short guide for international airport and hotel delivery bookings. Final handling may depend on the confirmed reservation, payment status, and vehicle preparation status.

Change requests

  • If the new amount is lower, refund handling depends on timing and preparation status.
  • Changes are subject to vehicle availability and may not always be accepted.
  • All change and refund records are handled separately from the original payment for clear accounting.

Insurance & Accidents

If an accident occurs
  • Stop driving immediately and assist any injured persons.
  • Report the accident to the police.
  • Contact the designated insurance accident center and NOVA Car Rental.
  • Do not make private settlements without approval.
Customer liability
  • Damage to third-party property may include a deductible.
  • Damage to the rental vehicle and Non-Operation Charge may be charged.
  • Insurance may not apply for unregistered drivers, drunk driving, no license, serious traffic violations, hit-and-run, or failure to report.
  • Charges may also apply for towing, lost keys, equipment damage, heavy dirt, odor, smoking, or unauthorized pet use.
CDW/NOC option

CDW/NOC support is an optional service to reduce part of the customer's financial burden. It is not a separate insurance policy and does not cover every case. The option fee is non-refundable after purchase.

Breakdown or warning lights

If a warning light, abnormal noise, odor, puncture, battery problem, or other malfunction occurs, stop safely and contact us before continuing to drive. Damage caused by ignoring warnings or failing to perform basic checks may be charged to the renter or driver.

Rental Rules

Driver and document rules
  • All drivers must be registered and approved before departure.
  • All drivers must provide valid driving documents, passport, and required IDP or official Japanese translation.
  • Adding drivers after departure is generally not permitted unless approved by us.
  • Copies, photos, expired licenses, digital-only IDPs, or unsupported IDPs cannot be accepted.
Vehicle use
  • This is a self-drive rental service. We cannot provide or arrange a driver.
  • Do not allow unregistered persons to drive.
  • Do not sublease, modify, race, tow, overload, exceed passenger capacity, or take the vehicle outside Japan.
  • Smoking is prohibited in non-smoking vehicles.
Children and seats
  • A child under 6 years old must use a child seat under Japanese law.
  • Customers may reserve a child seat or bring their own.
  • Installation and correct use are the customer's responsibility.
  • Junior or booster seats are recommended for older children when appropriate.
Traffic and parking violations
  • The customer is responsible for all traffic and parking violations during rental.
  • Parking violations must be handled at the police station and paid promptly.
  • If payment cannot be confirmed at return, a violation deposit may be required.
  • Unpaid fees, penalties, or repair costs may result in refusal of future rentals.

FAQ

Is my booking confirmed immediately?

No. We first confirm vehicle availability and then send you a payment link by email. Your booking is confirmed once the payment is completed.

Do you support languages other than English?

Yes. Message us on WhatsApp in whatever language you are comfortable with, for example Korean, Chinese, Spanish, French or German, and we will reply in that language. Booking pages and documents are in English.

What is the minimum rental period?

Two days (48 hours). Online requests must be submitted at least 24 hours before pick-up. For pick-up within 24 hours, message us on WhatsApp and we will check what is possible.

How do I pay?

By credit or debit card through a secure Stripe payment link. We do not take cash for international bookings. Tolls, fuel adjustments and other post-rental charges are settled from the security deposit after the return.

How much is the security deposit and when is it taken?

The deposit is a card pre-authorisation, ¥50,000 for 5-seat classes and ¥100,000 for 7-seat classes and above. Because international card holds are only guaranteed for about 7 days, we send the deposit link within three days before your pick-up. The hold is released after the car is returned and post-rental charges are settled.

Can I cancel after payment?

Yes. Before payment cancellation is free. After payment, a cancellation fee may apply depending on timing (capped at ¥6,600 in regular season and ¥7,700 in peak season if you cancel 72 hours or more before pick-up). Within 72 hours, up to the full basic rental fee may be charged. See Cancellation & Changes for details.

Can I change dates, car class or pick-up location?

Yes, subject to availability. Contact us before pick-up and we will recalculate the price. If the new amount is higher we send an additional payment link; if lower, the refund depends on timing and preparation status.

Can I rent a car in Japan with a US driver's licence?

Yes. You need your original US state licence, your passport, and an International Driving Permit (IDP) issued under the 1949 Geneva Convention by AAA or AATA. The IDP is valid for one year from its issue date, and in Japan it must be used within one year of your arrival.

Which countries can drive in Japan without an IDP?

Licence holders from Switzerland, Germany, France, Belgium, Monaco and Taiwan can drive with their original licence plus an official Japanese translation (from the JAF or their embassy or consulate). Everyone else needs a 1949 Geneva Convention IDP together with the original licence.

Is an IDP issued under the 1968 Vienna Convention accepted in Japan?

No. Japan only recognises IDPs issued under the 1949 Geneva Convention. A Vienna-format IDP, a digital IDP, or a mainland China licence cannot be used for self-drive rental in Japan.

My licence says I must wear corrective lenses. Are contact lenses fine?

Yes. The condition means corrective lenses of any kind, so contact lenses satisfy it. Please have your glasses or contacts with you whenever you drive.

Can I add a second driver?

Yes, at no extra charge. Every driver must be registered before pick-up and upload passport, licence and IDP (or translation) in the pre-check-in. Unregistered drivers are not covered by insurance and may not drive the car.

Can you deliver the car to Haneda Airport?

Yes. We deliver to and collect from Haneda Airport for ¥4,500 per one-way. Tell us your flight number; we park the car in the airport car park and send you the parking location and key-box code before you land, so you can pick it up yourself without waiting for staff.

Can you deliver the car to my hotel in Tokyo?

Yes, for ¥4,500 per one-way. If the hotel has guest parking we use it; otherwise we park in the nearest paid car park and cover the overnight parking fee ourselves. You receive the location and the key-box code on the day, and can take the car at any time, even early in the morning (an off-hours fee applies before 08:00 or after 20:00).

What if my flight is delayed?

Message us on WhatsApp as soon as you know. Because the car is already parked at the airport with a key box, a delay of a few hours usually needs no change at all. For long delays we adjust the handover plan with you.

Can you pick me up as a passenger?

No. This is a self-drive rental service only. We deliver the car; we do not provide a driver.

Do I need winter tyres for Mt. Fuji in December?

Yes. From December 1 to March 31 all our cars are fitted with winter tyres (¥1,100 per day). Around Mt. Fuji, Hakone and the mountain roads of Yamanashi and Nagano, some sections are closed to cars without winter tyres when it snows, and police check at the roadside.

Can a foreign visitor drive a 10-seater van in Japan?

Yes. Our 10-seater Toyota Hiace Wagon (10 seats including the driver) is classified as an ordinary passenger vehicle in Japan, so an ordinary car licence with a valid 1949 Geneva Convention IDP is sufficient. No bus or special licence is needed.

How are expressway tolls paid?

Every car comes with an ETC toll card, so you drive through the purple ETC lanes without stopping. Tolls are added up after the rental and settled from your deposit.

What if I return the car late?

Contact us before the contracted return time. Unauthorised late return may result in extra rental fees and a Non-Operation Charge because the next customer may be waiting for the car.

What happens if there is an accident?

Stop safely, help anyone injured, call the police (110), then contact us on WhatsApp. Never settle privately. Basic insurance is included and the required CDW/NOC cover limits your liability, but insurance does not apply to unregistered drivers, drink-driving or unreported accidents.
